Event Planner
Here are some general guidelines for organizing a show.
3 - 12 Months Prior to the Show
- Browse the www.saskbands.com website. You can view song lists, photos and small bios on most performers to get an idea of who would best suit your event.
- Contact us by using the "Contact Us" form on the website.
- Arrange for and RESERVE the venue and facilities needed for your event.
- Venue should be available all day (12:00PM – 3:30AM) on the day/night of the show.
- Have the show and Artist fees approved, if needed, by your committee/board and secure any necessary permits that are applicable to the show date. At this point, with help from Finegold Entertainment Group, you should determine if you can meet the Artist’s technical rider requirements (stage size, power needs, etc.)
- Place an offer for the Artist with Finegold Entertainment Group.
1 - 2 Months Prior to the Show
- Confirm Artist’s appearance.
- Organize printing and distribution of tickets to the show if needed.
- Coordinate your promotional plan and advertising campaign – seek out sponsors, breweries etc. If your group or committee has numerous members, (ball team, hockey team etc) try and get each person to sell at least 10 tickets themselves...this would mean 200 advance tickets if 20 team members sold 10 each. Not a bad start!
- Arrange for posters and get them up! Everywhere!
- Review, sign and return Artist’s contract.
- Organize staff and/or volunteers for the day of the show (bartenders, security, runners etc)
- Crew/staff shirts should be designed and ordered, if you plan on using them.
2 Weeks Prior to the Show
- Get ticket counts. If necessary, update or improve advertising. Get your team or organization members motivated to sell!
- Hold an organizational meeting with volunteers for Production, Runner, Hospitality and Security etc. Go over all details and time schedules. The Performers rider and Production Advance Schedule should be followed as closely as possible to make the Performers feel at ease.
10 Days Prior to the Show
- Venue and all technical requirements should now be secured.
- Reconfirm show day schedule, including availability of locker rooms/dressing rooms with the facility if required by the performer.
3 Days Prior to the Show
- Give the entire staff a written plan of when and where they should be throughout the day of the event.
- Reconfirm with the electrician, building staff, security, etc.
- Arrange to pick up certified cheques or cash for performers and all those to be paid at the show.
Day of the Show
- Coffee and bottled water is essential all day!
- Meet with volunteers and direct them to their appropriate assignments. Make sure the set-up is going smoothly and help to correct any problems that may come up.
- Set up Box Office/table and prepare for possible rush....hand stamps, float, ticket takers/checkers etc should all be ready to go before the doors open.
- Make sure that all staff and security on duty are in their appointed positions before the doors open.
